Why building the tech schedule takes so long
Published October 23, 2026
Every week, someone in your practice sits down to answer the same question: who is working with which doctor, and where? It sounds simple. It rarely is.
Four things pull on the same schedule
- Physician clinic days shift. Surgery days, satellite clinics and alternating weeks change which doctors need techs on which days.
- Not every tech can work for every doctor. Who is cleared for which physician, and in which role, often lives in one person’s head.
- Hours need to balance. Techs have required hours, and keeping everyone on target takes constant adjusting.
- Time off and call-ins arrive at the last minute. One request or sick call can undo a schedule that already worked.
Why a spreadsheet struggles
A spreadsheet shows you the schedule, but it doesn’t know the rules. When one thing changes, you re-check every other thing by hand. The more doctors and techs you have, the more combinations there are to check.
What a better process looks like
- Doctor patterns are set once and repeat, rather than being re-entered each week.
- Clearances are recorded, so a tech is never placed where they aren’t cleared.
- Hours and time off are visible before the schedule is published.
- Problems are flagged with a reason, so you know what to fix.
Drafting a schedule in seconds, then adjusting it by hand, leaves your time for running the practice.
